Description of Duties:

A Program Assistant at HSDE Canada works under the supervision and direction of the Program Coordinator to support the implementation, coordination, and administration of community programs and organizational activities. The position assists in ensuring that projects and services are delivered efficiently, professionally, and in alignment with the organization's mission and program objectives.


Key Duties and Responsibilities



  • Support the Program Coordinator in planning, organizing, and implementing community programs, workshops, outreach activities, and events.

  • Assist with daily program operations, scheduling, logistics, and participant coordination.

  • Maintain accurate program records, attendance sheets, participant files, and activity documentation.

  • Help prepare educational materials, presentations, reports, outreach tools, and administrative documents.

  • Communicate with participants, volunteers, community partners, and stakeholders regarding program activities and schedules.

  • Assist with community outreach, participant registration, and engagement activities.

  • Support data collection, monitoring, and reporting requirements for grants and funded projects.

  • Coordinate meeting arrangements, take notes during meetings, and follow up on assigned tasks.

  • Assist the Program Coordinator with volunteer support and activity supervision during events and workshops.

  • Help maintain inventories of supplies, materials, and equipment used in program activities.

  • Support social media communication and awareness activities related to organizational programs.

  • Ensure program activities are conducted in a respectful, inclusive, culturally responsive, and trauma-informed manner.

  • Perform general administrative and office support duties as assigned by the Program Coordinator or management.

  • Basic proficiency in Microsoft Office and digital communication platforms.

  • Ability to maintain confidentiality and professionalism.

  • Experience in administration, community services, nonprofit programs, or youth/community engagement is an asset.

  • Bilingualism or knowledge of additional community languages may be considered an asset depending on the program needs.
