Meeting Management and Minute Talking

A well planned board meeting helps ensure effective board minutes are captured. Board meetings and minutes are a tangible record of the meeting for the board of directors and a source of information for those who were not able to attend. If the Board Chair and the Secretary work together to ensure that the agenda and meeting are well thought out, then capturing the minutes becomes a lot easier. This workshop is designed to help board members work as a team to improve the quality of its meetings and ensure what transpired within the meeting is recorded in an appropriate format and level of detail.

Learning Objectives:

  • Common meeting guidelines, including rules of order
  • The role of the board chair and secretary
  • Steps to preparing for a board meeting
  • Types of meetings and the best style of minutes for these meetings
  • Identifying various styles of decision-making, including the consensus process
  • In-camera meetings and how to record these minutes
  • How to record action items in the minutes

Facilitator:

Juanita De-Souza-Huletey is a trailblazing leader, educator, mentor, and patron, who has made a significant impact in Canada since her arrival over 30 years ago. As an intern at IBM Canada Ltd, Juanita began her journey after graduating from the University of Ghana. She holds various roles, including being a member of the Board of Governors at the University of Manitoba, an entrepreneur, a board advisor, and the Manager of Application Services at the Workers Compensation Board of Manitoba.

With a master's degree from the University of Manitoba and ongoing Ph.D. studies, Juanita is highly educated and has published papers in international journals while presenting at conferences. She is actively involved in multiple boards and advisory positions, such as Women in Cybersecurity (WiCyS) Western Canada and the Ghana Mission Queen Girls Up (UN Foundation).

Juanita's dedication to the immigrant community is commendable. She addresses systemic issues, coaches immigrant professionals, and promotes successful integration. Her passion for volunteering is evident in her leadership of initiatives like Folklorama, Africa Fest Business Networking, and various fundraising activities.

Empowering immigrants, women, and girls in STEM is Juanita's driving force. She strives to challenge biases and create a better future. Her leadership style is characterized by integrity, accountability, transparency, and consistently surpassing expectations.

Juanita is happily married and the proud mother of three adult sons.
